Job Purpose

The Logistics Officer (Administrative) is responsible for ensuring effective coordination, documentation, and reporting of logistics operations. This includes fleet management, warehouse operations, asset tracking, and logistics administrative support for emergency response, in compliance with MRC policies, procedures, and internal audit requirements.


Key Responsibilities

1. Logistics Documentation & Reporting

  • Maintain and organize all logistics documentation including delivery records, stock reports and fleet records.
  • Ensure proper filing (physical and electronic) in accordance with internal audit and compliance requirements.
  • Prepare monthly and quarterly logistics reports covering fleet, warehouse inventory, asset tracking, and related activities.
  • Maintain an internal logistics operations calendar (vehicle servicing, asset tagging, stock checks, reporting deadlines).

2. Fleet Management Support

  • Monitor and update vehicle records including service logs, fuel consumption, insurance, road tax, and PUSPAKOM schedules.
  • Prepare monthly fleet utilization reports.
  • Coordinate with the Motor Transport Officer / Fleet Officer to ensure fleet readiness and timely servicing and repair follow-ups.
  • Track validity and renewal of logistics-related service agreements.

3. Warehouse & Inventory Support

  • Support warehouse operations by managing inventory records (GRN, stock cards, bin cards, waybills).
  • Perform routine data entry and coordinate internal stock movement with the Warehouse Officer.
  • Assist in conducting physical stock counts and reconciliation of discrepancies.
  • Support dispatch coordination and equipment allocation documentation.

4. Asset Management

  • Compile, update, and maintain MRCS asset registers.
  • Coordinate asset tagging, movement tracking, and periodic verification exercises.
  • Ensure proper documentation for asset transfers and disposals.

5. Emergency & Operational Support

  • Assist in logistics coordination during emergency and disaster response.
  • Support deployment tracking and operational documentation.
  • Provide logistics support for trainings, workshops, simulations, and meetings including event setup.

6. Procurement & Budget Support

  • Raise and track Purchase Authorisation Requests (PARs) for logistics-related operations.
  • Assist in preparation and monitoring of the logistics budget.
  • Coordinate with branches and departments on logistics requests and documentation.

Qualifications & Experience

  • Diploma or Bachelor’s Degree in Logistics, Supply Chain Management, Business Administration, or related field.
  • Minimum 2–3 years of experience in logistics administration, fleet coordination, warehouse operations, or asset management.
  • Experience working in NGO, humanitarian or emergency response environment will be an added advantage.

Skills & Competencies

  • Strong documentation and reporting skills.
  • Good knowledge of fleet and warehouse record management.
  • Proficient in Microsoft Office (Excel, Word).
  • Strong coordination and communication skills.
  • Detail-oriented with high compliance awareness.
  • Ability to work under pressure, especially during emergency response.
