SPECIAL OFFICER
The Malaysian Red Crescent (MRC) is seeking a highly organised, dependable and professional individual to join the Secretary General ‘s Office as a Special Officer.
The successful candidate will provide comprehensive executive and administrative support to the Secretary General, ensuring that official correspondence, meetings, appointments, travel arrangements and administrative records are managed efficiently.
This role requires excellent organisational skills, attention to detail and the ability to manage sensitive information with the highest level of confidentiality and integrity.
KEY RESPONSIBILITIES
- Communicate important instructions and information from the Secretary General to the relevant departments and stakeholders.
- Manage incoming and outgoing correspondence and ensure important matters are promptly brought to the Secretary General’s attention.
- Organise the Secretary General’s calendar, appointments, meetings and official engagements.
- Prepare agendas, memoranda, reports, meeting papers, presentations and minutes.
- Coordinate meetings, events, official travel and other logistical arrangements.
- Maintain accurate and organised administrative records, including correspondence, reports, financial documents and meeting records.
- Prepare and maintain supporting documentation for audit and administrative purposes.
- Facilitate communication between the organisation’s governance bodies, management and employees.
- Support MRC media, promotional, marketing and sponsorship activities involving the Secretary General.
- Handle confidential and sensitive matters professionally and discreetly.
- Perform other relevant duties assigned by the Secretary General.
REQUIREMENTS
- Diploma in Office Management, Public Administration, Management, Human Resources or another relevant field.
- Minimum of two years of relevant experience in executive support, administration, business operations or a similar role.
- Good knowledge of meeting procedures and preparation of meeting documents.
- Excellent written and verbal communication skills in English and Bahasa Malaysia.
- Proficient in preparing official correspondence, reports, agendas and minutes.
- Strong organisational and multitasking abilities.
- Meticulous, detail-oriented and able to produce accurate work.
- Able to manage multiple priorities and perform effectively under pressure.
- Strong problem-solving and conflict-resolution skills.
- High level of integrity and discretion when handling confidential information.
- Willing to learn, accept feedback and work in accordance with the Fundamental Principles of the Red Cross and Red Crescent Movement.
